Your shipping labels have to go out by five. The Kodak picture printer on the side table—the one that's been flawless for months—flashes an error. The replacement roller is 250 miles away. You need one label, and you're about to miss the cutoff. Sound familiar?
Maybe your office relies on that all-in-one you grabbed at Staples. Maybe you have a giant 3D printer in the corner that takes half a day to level. The details change, but the pattern doesn't. Something breaks or runs out at exactly the wrong moment, and the cost of fixing it is far more than the part itself.
I've been on the other side of this for years. At my company, I review incoming printer units before they reach customers—roughly 200 unique items per year. In our Q1 2024 quality audit, I rejected 8% of first deliveries because of misaligned parts, incomplete consumables kits, or specs that didn't match the packaging. That's not a minor issue. Per FTC guidelines (ftc.gov), advertising claims must be truthful, not misleading, and substantiated with evidence. But no regulator forces a printer maker to put the cost per page on the shelf. So you're expected to do the math yourself—usually after you've already bought the machine.
Then there's the downtime. The worst failure we caught in Q1 2024 was a printhead defect that would have destroyed 8,000 units in storage conditions. The supplier missed their launch by two weeks. That sort of thing costs far more than the part itself.
Small Orders Deserve Real Solutions

So what do you do? Stop buying a printer. Start buying a printing system.
- Before you choose, look up the cost of consumables and the availability of replacement parts.
- Check whether the manufacturer publishes a service manual or part numbers.
- Ask how long the model will be supported. A model with a two-year production cycle might be harder to service than one with a five-year cycle.
- Test the setup process. If changing ink feels like a puzzle, imagine doing it under a deadline.

I'm not telling you to buy Kodak because it's the cheapest. I'm telling you because I've seen what happens when parts and consumables are an afterthought—and it's ugly.
