The Hidden Cost of Printing: Inkjet vs Laser, 3D Printers, and One Procurement Manager's Hard Lessons

That's about 12 percent over budget—and every dollar over came from the same place: decisions we made before the printer arrived.

But after filament, a better build surface, a spare nozzle kit, and a small space with decent ventilation, you're at $500. If it prints a jig that saves $30 every time you use it, that pays for itself. If it prints decorations that break, it's a $500 paperweight.
Where procurement actually goes wrong
The deeper problem is not the printer brand. It's the process. Most purchases happen in categories: "photo printer," "label printer," "3D printer." The machine for shipping labels seems separate from the office laser for invoices. In procurement, that mental separation is expensive.
I didn't fully understand this until Q3 2024, when a "light-duty" thermal label printer blew through our supply budget. We bought it for occasional shipping labels. Then someone in operations started using it for inventory bins. Then someone else started printing shelf labels. By October, we had spent $380 on thermal paper and one repair visit. The device wasn't bad. The role mismatch was bad.
I knew I should check the monthly page volume before buying it. I thought "what are the odds we'd exceed the duty cycle?" The odds caught up with me. Period.
The real price of "cheap"

On the label side, there's another layer. Per FTC guidelines (ftc.gov/green-guides), if you print "recyclable" on a label, the claim has to be substantiated. A $20 saving on cheap label stock can turn into a compliance problem if your labels say "recyclable" but your local recycling stream does not accept them. I'm not a lawyer. What actually works

Before you buy any printer, ask the boring questions:
- What job is this device for? Not "marketing collateral"—actual output: photos, documents, labels, parts.

- What happens when it fails? Who fixes it, and how long does that take?
- Does the consumable meet the regulations for the final format: mail class, recycling claims, safety standards?
This is why I don't dismiss a Kodak Step photo printer or a Kodak photo printer dock. They have clear roles. And an Ender 2 3D printer can be a legitimate tool if your volume and part size are low. The mistake is buying on the category label instead of the workload. If you know the workload, the device almost chooses itself.
Kodak's range covers photo, label, and all-in-one printing. That's actually helpful because it means you can stay within one ecosystem for multiple roles. But even a good ecosystem doesn't replace the TCO spreadsheet. It just gives you more options for the worksheet.
The next time someone asks me whether inkjet or laser is better, I'm going to ask them what they actually print, how often, and what it's worth when it goes wrong. The answer to those questions is worth more than any review. Period.
